Nature of Work
An employee in this class performs technical-clerical work preparing and maintaining a variety of computer databases pertaining to student attendance and demographic statistics in an assigned school. Work involves utilizing specialized computer-driven file maintenance, word processing and spreadsheet programs which are part of the Student Information Management System to develop and maintain records of student attendance, class schedules, grades, demographic statistics, immunizations, etc. and preparing associated reports. Employee is responsible for reviewing forms and handwritten information, and entering data into proper computer files, often utilizing specialized codes and abbreviations; utilizing scanner devices to input data; updating files on a daily basis; printing reports; and preparing daily back-up copies of records on storage disks. Employee is also responsible for troubleshooting errors or other operational problems with computers and peripheral equipment, installing computer program software, and preparing various correspondence and forms. Work also involves general clerical work, such as answering telephones and assisting visitors to the school office.
Education and Experience
High school diploma and a minimum of two years of experience with computer processing and data entry required. Associates Degree from a two year college or technical school preferred.
Essential Functions/Typical Tasks
- Enters and manages student data in withdrawals, student/teacher/room immunizations, demographics, etc. Infinite Campus, including enrollments, schedules, transcripts, test scores,
- Monitors the entry of attendance and grades by teachers into Infinite Campus. Monitors student absences for correct excused/unexcused Prepares student absence lists and daily absence bulletin. Maintains student sign-in/sign-out logs, based upon directions from principal. Corresponds with parents concerning student absences and tardiness, including attendance letters per school district procedures. Directs teachers concerning attendance procedures and policies.
- Employs the Infinite Campus program to generate reports to satisfy the requirements of Pamlico County Schools, school administrators, local and state government, law enforcement and health agencies, as well as the North Carolina Department of Public
- Oversees student entry and withdrawal from the school. Enrolls new students throughout the year. Enters basic student and demographic Processes arriving student's cumulative records. Prepares cumulative records for departing students. Maintains files of arriving/departing students' cumulative records. Copies and sends cumulative records for withdrawing students and maintains a log of students who entered and departed the school throughout the year. Provides home room assignments and schedules (Exception for grades 9-12: high school counselors develop schedules for newly enrolling students).
- Collects data for and prints marking period report
- Requests cumulative records for new students and sends cumulative records upon request for exiting students. Manages student cumulative records according to federal (FERPA) and district policies and (Exception for grades 9-12: other clerical staff may be responsible for records duties at the discretion of the principal).

Physical Requirements
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is frequently required to stand, walk, and sit. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
